Key activities:
The fundraising team at the National Arts Centre is currently seeking a dynamic Administrative Assistant to support the two leadership positions within the department. You are the face and voice of the office, often the front-line of inquiries. You are exceptionally well organized. Your core duty will be the management of two sets of email and two calendars – there will be some overlap of content/requests, but there are also distinct areas of responsibility, so you are a quick learner and strong multi-tasker. Additional duties include: expense reconciliation; meeting preparation, including material distribution support for the NAC Foundation Board. You will interact regularly with members of the NAC family, including leadership staff, members of the Senior Management team, the Foundation team, volunteers and donors. You possess a proven ability to work in a fast-paced environment, with two fun but driven personalities. Your role requires daily attendance in the office and availability during regular working hours. However, you are not required to be available or accessible on a regular basis before or after normal hours of work.

Skill Requirements

  • College diploma or equivalent combination of education and experience; business skills training preferred;
  • Advanced computer skills including Word, Excel, PowerPoint, Outlook and Internet;
  • Ability to self manage work and to evaluate and manage priorities;
  • Ability to process high volumes of information from multiple sources;
  • Capable of drafting and proofing correspondence;
  • Ability to adapt quickly to a fast-paced and highly charged environment;
  • Highly organized and able to co-ordinate a variety of projects/activities simultaneously;
  • Must be able to maintain discretion and absolute confidentiality at all times;
  • Knowledge of the arts and an understanding of fundraising principles are assets;
  • Excellent communication skills in both official languages (French & English);
  • A past record of satisfactory attendance and punctuality is a requirement*.
